Manage Shipping with Waybills in Microsoft Dynamics 365 Business Central

The Shipping Manager app enables you to create waybills and connect to shipping brokers to arrange shipping with freight forwarders and get the best price for each parcel.

Waybills on Sales Orders in Dynamics 365 Business Central

You create a waybill for each delivery address, and you may add multiple types of predefined packages (like boxes, pallets or containers) to the waybill.

You can request offers from delivery brokers, like Consignor, Webshipper or Shipmondo, but you may use any broker you like. You can select the best offer from the freight forwarders (shipping agents) and let the system arrange the pickup.

You then receive a label, you can print and put on the parcel, and the label of course depends on which freight forwarder you have selected in each case.

The label and the track & trace number is saved on the waybill in Business Central, from where you can also manage the status of the waybill, the shipping details etc.

You can assign a pickup-number to each waybill. This is information for the freight forwarder. It allows you to assign a waybill to a specific pickup, and then the freight forwarder knows exactly which parcels to pick up.

The Shipping Manager can also be configured to arrange shipping directly with your preferred freight forwarder – without using a shipping broker.

For more complex situations, you may embed waybills into other waybills. This allows you to pick items to a box, add multiple boxes to a pallet, add multiple pallets to a container, and finally ship the container.

Create a new waybill from the Sales Order to plan shipping. Add waybill lines to combine types of packaging on the waybill, and enter the quantity, weight and volume of the packages.

You can send the waybill from the sales order, from the transfer order, or from the waybill overview itself.

How-to and Support

After installing the Shipping Manager App, perform the following setup:

  • Create a new No. Serie named ‘Way-Bill’.
  • Create a new No. Serie named ‘Packaging Unit’.
  • Open a Sales Order and close it again. (This will inset a setup record for the next action).
  • From the search menu, find App Manager and open it. From that page find and click the Action “Detailed App Setup”.
    Find the record “Show Waybill Lines” and checkmark the field Enabled on the line.

You are now done with the setup and can start using the system:

  • Create a new Sales Order for a Customer and add some Item lines to the Sales Order.
    (The Waybill Line section should now be not editable).
  • From the subpage “Waybill Lines”, select the action “Create New Waybill”.
    (This creates a new “hidden” Waybill Header, adds the Waybill No. to the Sales Header in the field “Waybill” in the section Shipping and Billing).
    (The Waybill Lines are now editable).

  • Enter a new Waybill Line:
    First Lookup in the Field Package Type, and enter a new Package Type in the table Package Type. For example “Pallet”.
    Enter values in the fields Gross Weight and Net Weight.
    (The Package No. should be filled in automatically while entering the line).
    You can add more Waybill lines if preferred – one line equals one package to ship.
  • Enter a “Quantity to ship” on the Sales Order lines, which is less than the quantity and will leave the order open.
  • Post shipment of the Sales Order.
  • Enter a new “Quantity to ship”, still not the full quantity on the line. Post shipment again.
  • From the Waybill subpage, select the Action “Packaging Unit”, which open a page for Packaging Unit.
    From that Packaging Unit page click the Action “Show package hierarchy from top”. This should now display a line for the Sales Order, and two related line for the two shipments you have made.
  • Go back to the Sales Order.
    From the Waybill subpage, select the Action “Close all Packages”. This should now set all Waybill Lines to “Closed”.
  • Enter a new “Quantity to ship” on the Sales Order lines, which still is less than the full quantity and will leave the order open.
  • Post shipment of the Sales Order.
    The Waybill lines should now disappear from the Waybill subpage, and the Waybill No. removed from the field Waybill on the Sales Header.
    You are now ready to continue with the Sales Order on a new Waybill by repeating the whole procedure.
  • From the menu you can search for Waybill and find the Waybill you have just finished.
    And from that Waybill you can see the hierarchy of Sales Shipments related to the Waybill, still with the Sales Order in as the first line.
